The Role
This position supports the end-to-end listing lifecycle, compliance documentation, marketing collateral and general administration across the business. You will act as a key connector between agents, marketing and internal systems to ensure processes run smoothly and efficiently.
Key responsibilities include
Managing property listings from sign-up through to launch;
Executing agency agreements and compliance documentation;
Crafting Information Memorandums (AI-generated in-house) and ensuring final output is accurate, compliant and on-brand);
Reviewing, refining and sense-checking AI outputs for accuracy and quality control;
Assisting a nationwide team of brokers;
Working closely with in-house marketing and communications teams;
Conducting property research, RP Data searches and company searches;
Issuing documentation via DocuSign and monitoring signing progress;
Updating listings across platforms and internal systems;
Managing document control and digital filing processes;
Updating workflows within Monday.com;
Supporting CRM data entry and reporting;
Producing proposals and marketing collateral using templates (training provided); and
Providing general administration and occasional reception backup support.
This is a fast-paced role requiring initiative, accuracy and strong organisational capability.
About You
Previous experience in administration (real estate or commercial property experience advantageous);
Tech savvy with strong systems capability;
Knowledge of Adobe InDesign / Photoshop – highly desirable but not essential;
Experience using AI tools to enhance workflow efficiency – highly desirable but not essential;
High level communication skills – both written and verbal;
Strong initiative and ability to anticipate needs;
Exceptional attention to detail;
Confident phone manner and comfortable liaising with stakeholders; and
Positive attitude and desire to learn.
