Executive Assistant | Disputes & Investigations

Melbourne | Full-time

An exciting opportunity has arisen for an experienced Executive Assistant to join the Melbourne office of a highly regarded, market-leading law firm.

This is a fantastic opportunity to become an integral part of a busy Disputes & Investigations practice, supporting a Partner and broader team of lawyers working across complex, high-profile litigation and regulatory matters.

You’ll be joining a collaborative and high-performing team where no two days are the same, and where your ability to stay organised, anticipate needs and manage competing priorities will be genuinely valued.

The opportunity:

Working closely with a Partner and team of lawyers, you will provide comprehensive executive and legal support across a diverse portfolio of matters.

Your day-to-day responsibilities will include:

  • Providing proactive executive support to a Partner and legal team;

  • Managing matter-related documents, files and correspondence;

  • Preparing and formatting court documentation across multiple jurisdictions;

  • Coordinating and managing briefs to counsel;

  • Liaising confidently with clients, counsel, courts and other external stakeholders;

  • Managing electronic filing requirements and court portals;

  • Taking ownership of diary, inbox and appointment management;

  • Assisting with monthly billing processes and account reconciliation;

  • Coordinating domestic and international travel arrangements; and

  • Providing occasional digital dictation and general administrative support.

About you:

We’re looking for an experienced Executive Assistant or Personal Assistant who enjoys working in a fast-paced professional environment and takes pride in delivering high-quality support.

You’ll ideally bring:

  • Previous experience supporting senior professionals, preferably within a law firm;

  • Strong attention to detail and a high level of accuracy;

  • Excellent organisation and time management skills;

  • The ability to prioritise effectively and manage multiple deadlines;

  • Strong written and verbal communication skills;

  • A proactive, solutions-focused approach;

  • Confidence dealing with senior stakeholders, clients and external parties; and

  • Intermediate to advanced Microsoft Office skills.

Why this opportunity?

This is more than a traditional legal support position. You’ll have the opportunity to work alongside some of the best legal professionals in the market, gain exposure to complex and interesting matters, and become a valued member of a growing and highly regarded practice.

The firm has built its reputation on exceptional legal work, innovative thinking and a genuinely merit-based culture. It is an environment that attracts high-calibre people and provides the opportunity to develop your career alongside them.

If you’re an experienced Legal EA or PA looking for your next challenge within a sophisticated disputes practice, we’d love to hear from you.
