An opportunity has arisen for an experienced Legal Assistant to join a global, top-tier law firm within its national Trade Marks practice.

The firm is known for its collaborative culture, strong internal support and excellent employee benefits. It’s a place where people tend to build long-term careers, with low turnover and investment in its support teams.

This role sits within the Sydney Trademarks team, however the work is national in scope. You’ll work closely with colleagues in Melbourne and across the broader IP function, supporting multiple solicitors and managing a high volume of deadlines and billing matters.

The role

This is a hands-on, fast-paced position suited to someone who enjoys working across systems, managing workflows and proactively identifying efficiencies.

Key responsibilities include:

  • Supporting 2-3 lawyers in Sydney, alongside national Trade Marks teams;

  • Managing high-volume monthly billing across multiple solicitors and matters;

  • Navigating national Trade Marks programs and IP portals;

  • Filing with IP Australia and IPONZ;

  • Monitoring and reporting on Trade Mark deadlines;

  • Managing multiple deadlines across different practitioners;

  • Liaising confidently with internal stakeholders and clients; and

  • Contributing to ongoing process improvement and administrative efficiencies.

About you

You’ll thrive in this role if you:

  • Have 2+ years’ experience as a Legal Assistant;

  • Are comfortable operating with minimal supervision;

  • Enjoy process-driven work and high-volume administration;

  • Are confident managing billing, deadlines and multiple stakeholders;

  • Have a proactive, solutions-focused mindset;

  • Are comfortable learning new systems, IP portals and emerging technology;

  • Have strong attention to detail and organisational skills;

  • Are a confident relationship builder who works well across offices; and

  • Stay calm and adaptable in a fast-paced environment.

An interest in AI and emerging technologies and how they can improve legal processes will be highly regarded.
