The Opportunity
We are seeking an experienced Medical Administration Officer to provide high-quality administrative and coordination support within a specialist government team supporting independent medical assessment processes.
This is an initial 6-month contract with potential for extension, offering the opportunity to work within a Queensland Government environment supporting medical professionals, decision-makers and stakeholders through a structured assessment process.
You will be responsible for managing confidential documentation, preparing accurate correspondence and reports, maintaining electronic files, coordinating appointments and providing professional support throughout the assessment process.
The role is suited to an experienced administrator who enjoys working in a fast-paced environment, has strong attention to detail and is confident managing complex information, competing priorities and stakeholder relationships.
As a Medical Administration Officer – Tribunal Services, you will:
Provide high-quality administrative and secretariat support to medical decision-makers, ensuring they have accurate and complete information to undertake their role;
Prepare, format and quality-check correspondence, reports and assessment documentation with a high level of accuracy;
Undertake electronic file management within a paperless environment, including document organisation, PDF management and maintaining accurate records;
Coordinate assessment appointments and liaise professionally with workers, representatives, insurers and medical professionals;
Support virtual assessments and meetings, including coordinating technology requirements and ensuring processes run smoothly;
Manage confidential information appropriately while maintaining accurate data entry and records across relevant systems;
Undertake transcription and document preparation activities, including responding to time-sensitive requests and meeting deadlines; and
Identify opportunities to improve administrative processes and contribute to efficient service delivery.
Required Experience
Demonstrated experience providing administrative support in a fast-paced environment requiring accuracy, confidentiality and strong attention to detail;
Advanced word processing skills with experience preparing professional documentation, correspondence and reports;
Experience using electronic records management systems and working within a paperless office environment;
Strong data entry skills and confidence learning and using digital systems and software platforms;
Ability to prioritise competing tasks, manage deadlines and maintain quality outcomes under pressure; and
Strong interpersonal skills with the ability to communicate professionally with a range of stakeholders.
Highly regarded:
Previous experience in medical administration, healthcare, insurance, workers compensation, legal or government environments;
Experience with Dictaphone typing, transcription or audio-to-text document preparation;
Experience using Adobe Acrobat / PDF editing tools and electronic document management systems;
Knowledge of medical terminology or experience working with medical reports and assessments; and
Understanding of workers compensation processes or legislative environments.
