The role

This is a dual Executive Assistant & Office Manager position supporting a senior leader while also ensuring the smooth and efficient running of the Brisbane office.

At an executive level, you will provide day-to-day support including inbox and diary management, meeting coordination, travel arrangements, correspondence drafting, and general administrative support to ensure the Director’s workload is well managed and prioritised.

Alongside this, you will take ownership of office operations, ensuring the workplace runs efficiently and professionally. You will manage reception duties, office supplies, facilities coordination, supplier liaison, and general administrative processes that support the wider business.

The role also includes support functions such as document management between head office and the local team, invoice processing through internal systems, and supporting project or operational teams with administrative tasks as required.

Key responsibilities include:

  • Executive inbox and diary management;

  • Travel and meeting coordination;

  • Reception and general office support;

  • Office facilities and supplier coordination;

  • Invoice entry and system administration;

  • Document control and internal coordination; and

  • General administrative and operational support.

About you

You are a confident, proactive and highly organised professional who thrives in a busy and varied environment. You are comfortable supporting senior leadership while also managing broader office responsibilities.

You will bring:

  • Experience in an Executive Assistant, Office Manager or senior administration role;

  • Strong communication skills and a professional, grounded approach;

  • High level of discretion and confidentiality;

  • Ability to manage competing priorities and work independently;

  • Strong attention to detail and systems confidence;

  • A proactive mindset and willingness to take ownership; and

  • Positive, team-oriented attitude;
