  • Derrimut location;

  • Permanent full-time Monday to Friday; and

  • 8am to 4pm with 1 day WFH.

With new tracking and reporting guidelines coming in from 1st July, we need your expertise to help implement processes and procedures to support these.

Whilst you then continuously manage this, you will also provide administrative support to assist with the successful coordination and delivery of project and contract management activities.
 
Responsibilities will include:

  • Manage and maintain project documentation accurately and on time;

  • Build strong relationships with internal teams, clients, and stakeholders;

  • Prepare project status reports and track outstanding documentation;

  • Monitor compliance and certification requirements for project completion;

  • Coordinate and archive project, safety, and quality documentation;

  • Manage customer invoicing, progress claims, and invoice submissions;

  • Support Project Managers with budgets, job costs, and internal processes;

  • Set up and maintain job requests, registers, and project tracking systems; and

  • Attend meetings, take minutes, and distribute actions promptly.

To be considered for this role, we are seeking:

  • Proven experience in setting up and maintaining tracking and reporting systems – experience with Local Jobs First reporting and Social Procurement reporting will be advantageous;

  • Experience in contract/project administration;

  • Time management skills with an ability to work under pressure and plan and prioritise workloads in order to meet deadlines;

  • Intermediate to advanced computer literacy including Word, Outlook & Excel; and

  • Intermediate financial administration knowledge (e.g. Purchase Orders, invoicing, working to budgets).
