Working within a team of four and reporting directly to the Director of Operations ANZ, this is a hands-on opportunity for an experienced Purchasing Specialist looking to join a well-established global organisation for an initial 8 month fixed term contract.
 
Your new role:

Your new role will see you managing the purchasing of spare parts and finished machines from Europe into Australia, ensuring stock levels are maintained across the relevant national warehouses and orders are delivered on time.

This is a high-volume and highly organised role where no two days will look exactly the same. You will work closely with European suppliers, 3PLs, freight forwarders and internal stakeholders to coordinate purchasing, inbound deliveries, invoices and stock receipts.

Working Monday to Friday, 8.30am – 4.45pm, you will need to be comfortable working with overseas suppliers and managing the time differences associated with Europe (no need to log on after hours).

Your typical day will see you:

  • Raise purchase orders with European suppliers for spare parts and finished machines;

  • Monitor stock levels across relevant national warehouses and determine purchasing requirements;

  • Assign orders to suppliers through EDI and ensure purchasing information remains accurate and up to date;

  • Work closely with 3PLs and freight forwarders to coordinate and monitor inbound deliveries;

  • Create shipments and bookings through the system for incoming goods;

  • Track inbound deliveries from Europe through to receipt in the relevant warehouse;

  • Maintain accurate tracking of goods using serial numbers and associated shipment information;

  • Manage a high volume of invoices, particularly where goods are received as part shipments from 3PLs;

  • Approve and process invoices, ensuring all information aligns with the relevant purchase orders and shipments;

  • Receive orders into the system and raise adjustments where required;

  • Create inbound deliveries and ensure goods received are accurately recorded;

  • Monitor outstanding purchase orders and proactively communicate with suppliers regarding delivery dates;

  • Work collaboratively with the broader customer service and operations teams to ensure purchasing and inventory requirements are met; and

  • Maintain a strong focus on accuracy, organisation, scheduling and timely completion of all purchasing activities.

What you need to succeed:

  • Minimum 5 years’ experience working as a Purchasing Specialist, Procurement Specialist or similar purchasing-focused position;

  • Strong experience managing purchasing activities, ideally involving international suppliers and importing into Australia;

  • Proven experience working with overseas suppliers, particularly European suppliers, and an understanding of the timeframes involved;

  • Highly organised with excellent analytical, scheduling and prioritisation skills;

  • Strong attention to detail, particularly when managing high volumes of purchase orders, invoices, shipments and stock information;

  • Experience working with 3PLs, freight forwarders and inbound logistics will be highly advantageous;

  • Strong systems capability, with SAP / ERP and EDI experience viewed favourably;

  • Ability to confidently manage high volumes of transactions while maintaining accuracy;

  • Excellent communication skills, with the ability to work effectively across suppliers, 3PLs, freight providers and internal stakeholders;

  • Comfortable working autonomously while being part of a close-knit team of four;

  • Based locally to Dandenong South and comfortable commuting to the site; and

  • Available to commence on 1st December 2026 or earlier and commit to the full 8 month fixed term contract.
