About the Opportunity

We are seeking an organised and proactive Office Administrator to become the operational backbone of this growing business. This is a varied role suited to someone who enjoys wearing multiple hats and thrives in a small business environment.

Working closely with the business owner and wider team, you'll support day-to-day office operations while also taking responsibility for stock control, inventory accuracy and customer administration. You'll split your time between the office and the yard, ensuring systems accurately reflect stock movements and supporting the implementation of a new inventory management system.

As the business continues to grow, there will also be opportunities to become involved in marketing initiatives and business development activities.

Key Responsibilities

  • Manage stock control processes, including stocktakes and inventory reconciliation;

  • Walk the yard to verify stock locations, quantities and movements;

  • Support the implementation and ongoing maintenance of the Sympac inventory management system;

  • Track inventory from arrival through to storage, processing and dispatch;

  • Coordinate timber sent to external suppliers for specialist processing;

  • Manage purchase orders, supplier documentation and import / shipping paperwork;

  • Provide day-to-day office administration and customer support;

  • Respond to customer and supplier enquiries via phone and email;

  • Maintain accurate customer records and business information;

  • Process invoices and provide administrative support alongside the bookkeeper;

  • Order office supplies and maintain an organised office environment;

  • Develop and improve internal systems and administrative processes; and

  • Assist with marketing activities, including maintaining prospect lists, supporting digital marketing initiatives and contributing to social media content.

Who are we looking for?

We're looking for someone who enjoys variety and wants to become a valued member of a small, supportive team. You'll be a hands-on administrator who is equally comfortable behind a desk as you are walking through the warehouse or yard to ensure inventory is accurate.

You'll ideally bring:

  • Previous experience in administration, office coordination or operations support;

  • Strong organisational skills and exceptional attention to detail;

  • Experience with stock control, inventory management or purchase orders;

  • Confidence learning new systems and improving existing processes;

  • Excellent customer service and communication skills;

  • The ability to work independently and use initiative;

  • A flexible, team-first attitude and willingness to support wherever required; and

  • Experience within building supplies, construction, manufacturing, timber, warehousing or importing environments will be highly regarded but is not essential.
